Otter Co-op is now accepting applications for a full time Payroll and Benefits Assistant.  This position will work out of our Administration office located in Langley, BC.

What you’ll do:

As a member of our People & Culture team, the Payroll & Benefits Assistant plays a key role in ensuring our employees are paid accurately and on time. Reporting to the Payroll & Benefits Manager, you will support the delivery of full-cycle payroll and benefits administration while ensuring compliance with payroll legislation, company policies, and best practices.

This is not a data entry position. We're looking for someone with foundational payroll knowledge, a genuine interest in payroll and benefits, and a willingness to learn and grow within our organization. You'll be supported by an experienced team while developing your expertise in payroll legislation, systems, and best practices. Success in this role requires strong analytical skills, exceptional attention to detail, excellent written and verbal communication, and a commitment to providing outstanding service to employees and leaders across the organization

The specific responsibilities of the Payroll and Benefits Assistant include, but are not limited to the following:

  • Assist with processing full cycle bi-weekly payroll (~700 employees)
  • Provide relief coverage for full payroll transmission
  • Maintain working knowledge of payroll functions (UKG and Oracle). 
  • Assist with the review and interpretation of electronic timecards in UKG
  • Collaborate and follow up with site managers to ensure accurate payment of team members, assisting in resolving timecard issues and providing ongoing training and support as needed
  • Ensure compliance with both Provincial and Federal employment standards legislation
  • Provide exemplary customer service for team members and team leaders with their payroll and benefits inquiries
  • Maintain and update electronic and hard copy employment records
  • Work collaboratively with the Payroll team to ensure comprehensive understanding and application of payroll and benefits best practices guidelines
  • Provide Benefit administration and maintenance in an organized, accurate and timely manner
  • Track safety footwear and vehicle allowances when applicable
  • Report all separation details within provincially and federally set timelines
  • Maintain accurate and up-to-date wage tracking and SIN validity information and provide regular reporting
  • Provide administrative support for the VP of People and Culture  and Advisors as needed
  • Maintain confidentiality regarding all Human Resources and Payroll related information
  • Contribute to the Team in living the Corporate Values of Integrity, Community and Excellence

What you bring:
  • Minimum 2-3 years of payroll experience, including exposure to full-cycle payroll processing, or an equivalent combination of payroll education and practical experience.
  • Foundational knowledge of Canadian payroll legislation and employment standards (provincial and Federal), with the ability and desire to continue developing your payroll expertise.
  • Payroll Compliance Practitioner (PCP) designation, or actively working toward completion, is considered an asset.
  • Post-secondary education in Payroll, Human Resources, Business Administration, or a related discipline is considered an asset.
  • Experience with Oracle, UKG and other HRIS/payroll systems is considered an asset.
  • Strong proficiency in Microsoft Office, particularly Excel.
  • Capable of setting and juggling priorities, with an awareness of ”big picture” and prioritize with excellent time management and organization skills
  • Able to work with minimum supervision in a fast paced, high-volume environment with multiple interruptions and multiple concurrent projects
  • Excellent written and verbal communication skills with the ability to communicate clearly and professionally with employees, leaders, and external partners.
  • Strong attention to detail, sound judgment, and a commitment to accuracy and confidentiality.
  • Able to think clearly in stressful situations, act with composure, tact and discretion
  • Able to handle private, confidential and sensitive information appropriately.
  • Excellent organizational and time management skills with the ability to prioritize competing deadlines in a fast-paced environment.
  • A collaborative mindset, a positive attitude, and a genuine willingness to learn, grow, and contribute as part of the People & Culture team.
