Role Summary

The  Executive Assistant (EA) is a trusted, high-discretion partner to the U.S. General Manager. This role enables leadership to operate at maximum effectiveness by owning complex scheduling and travel, managing leadership meeting cadence (agendas, pre-reads, follow-ups), coordinating cross-functional communications, and executing high-visibility meetings and events (executive offsites, all-hands, team engagement activities).

The EA also supports operational workflows including expenses, purchase orders, vendor contracting coordination, and document/knowledge management across Microsoft 365 and enterprise systems. This role requires excellent judgment, anticipatory execution, and comfort working in a fast-paced, regulated environment.

 

Key Responsibilities

Executive partnership and leadership support

  • Serve as a trusted partner to the U.S. GM; proactively manage competing priorities and shifting schedules with sound judgment and discretion.

  • Independently manage complex calendars across time zones and stakeholders; prepare leaders for meetings by ensuring logistics, attendees, and materials are aligned.

  • Collaborate with the US Market Communications team to draft, proofread, and format executive-ready communications and presentations; maintain distribution lists and org charts as needed.

Operating cadence and meeting governance

  • Own recurring leadership meeting cadences (e.g., leadership team meetings, business reviews, planning sessions): request agenda inputs, coordinate pre-reads, compile materials, and drive follow-up on action items.

  • Partner with the US Market Communications team to produce large-format virtual meetings (Teams) and hybrid sessions; coordinate A/V, room bookings, and run-of-show support.

Travel, expenses, and reimbursement

  • Coordinate end-to-end domestic and international travel, including itineraries, last-minute changes, and traveler readiness.

  • Prepare and reconcile expense reports in Concur.

Procurement, vendors, and budget hygiene

  • Coordinate vendor onboarding, agreements, and contracting workflows (routing, intake, required documentation).

  • Request and track purchase orders; ensure invoices are processed accurately and on time in alignment with company policies.

  • Track and reconcile department spend items relevant to leadership operations and events; partner with Finance and Procurement as needed.

Events, offsites, and employee engagement logistics

  • Plan and execute logistics for U.S. events (all-hands, leadership offsites, visiting leadership meetings, team-building events): venue/space, catering, A/V, attendee communications, and onsite support.

  • Support conference and congress logistics, including scheduling coordination and executive travel readiness.

Onboarding/offboarding and cross-functional coordination

  • Support onboarding and offboarding logistics (access requests, equipment coordination, calendar setup, meeting introductions), partnering with HR/People Operations and IT.

  • Maintain organized knowledge repositories and “single source of truth” files using SharePoint/Teams; ensure version control for key leadership documents.

Continuous improvement and ways of working

  • Identify and implement more efficient ways of working using productivity tools, templates, and AI-enabled features (e.g., Microsoft Copilot).

Requirements

  • Education: High school diploma or GED required; associate or bachelor’s degree preferred.

  • Experience: Minimum 6+ years supporting senior leaders (SVP level or equivalent) in a complex, fast-paced environment; demonstrated success supporting multiple leaders and stakeholder groups.

  • Proven ability to handle highly confidential information with discretion and independently resolve complex prioritization challenges.

  • Advanced proficiency in Microsoft 365, including Outlook, PowerPoint, Excel, Teams, and SharePoint.

  • Experience with enterprise travel, expense, and procurement workflows (e.g., Concur and PO/procurement systems such as Coupa, Ariba, or eMarketplace).

  • Strong written and verbal communication skills, stakeholder management, and executive presence.

  • Proven ability to plan and execute onsite and offsite meetings and events with logistical excellence.

Preferred Qualifications

  • Experience in pharma/biotech or another regulated environment (e.g., SOX, compliance, vendor controls), particularly within commercial organizations.

  • Experience managing executive operating cadence, including leadership team meeting governance, pre-reads, and action tracking.

  • Systems fluency beyond Microsoft 365, such as Smartsheet, Veeva, DocuSign, or Workday.

  • Familiarity with GenAI productivity tools (e.g., Microsoft Copilot) for drafting, summarization, and formatting support.

Work Model and Location

  • Hybrid role based in Plainsboro, NJ, with expected on-site presence three days per week. Additional on-site support required for leadership visits, all-hands, offsites, and key meetings.

  • Occasional travel up to 10%.

  • This position is non-exempt and eligible for overtime
