Your Role in Our Journey
We are seeking a highly organized, experienced,and tech-savvy Executive Assistant to support our co-CEOs. This is a newly formed role supporting our co-CEOs Ali and Trevor, helping them stay on top of meetings, communications, and follow-ups both internally at Jane and with external stakeholders and reach-outs (e.g., Board, investors, speaking invitations, etc.). This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, and leverages both traditional organization and modern AI tools to streamline operations. You’ll play a key role in ensuring our CEOs day-to-day and week-to-week activities run smoothly, and helping them prioritize interactions and responses to ensure the right things are getting their attention.
The Impact You Could Have
- Inbox & Communication Management: Monitor and triage the co-CEO’s inboxes, prioritize communications, and draft and send follow-ups as needed (e.g., external requests, Board coordination, etc)
- Calendar Management: Own and manage calendars, scheduling meetings, coordinating appointments, and ensuring optimal time allocation.
- Travel Coordination: Arrange occasional travel, including flights, accommodations, and itineraries.
- Meeting & Event Support: Coordinate executive lunches, dinners, and board meetings, including handling catering and on-site logistics.
- Tech & AI Fluency: Utilize modern tools - including AI platforms and productivity apps - to automate tasks, increase efficiency, and assist in daily operations.
The Experience We Feel We Need
- 5+ years as an executive assistant within fast-paced, scaling organisations
- Tech-savvy: Brings experience experimenting with and using the latest AI tools to automate repetitive tasks, freeing up capacity for more complex and bespoke work. Comfortable with Google Suite (Gmail, Google Docs), Slack, Notion, AI tools such as Fellow, Travel platforms (such as Travel Perk), and learning new tools quickly on the go
- Growth & Improvement mindset: Curiosity and drive to continuously learn and explore ways to make things simple, more efficient and productive for our busy leaders, with an emphasis on leveraging the latest AI tools available.
- Excellent communication and writing skills; confident drafting and driving senior-level correspondence.
- Highly organized with exceptional attention to detail and time management.
- Comfortable balancing multiple tasks, managing shifting priorities, and working independently.
At Jane, we’re committed to paying fairly, clearly, and above all, paying for growth. This role has an annual salary range of $71,600 to $107,400. While that is a large range, it is intentional. It reflects the full growth journey someone might take in the role, from developing skills early on to becoming highly proficient and ultimately achieving excellence.
Most new hires join at the accomplished stage, which for this role represents an annual salary of $85,100. A starting salary below this typically indicates a candidate with strong potential who is still developing key skills. Salaries above this usually apply to existing team members who have made a significant impact and bring deep Jane-specific knowledge.
