The Opportunity

TC Energy’s HR team is evolving to meet the needs of our business and we are seeking an experienced Senior Administrative Assistant to support the VP of HR as well as other members of the HR leadership team.  The successful candidate will be responsible for complex and confidential administrative work and assignments requiring a high level of professionalism, sense of urgency, and strong attention to detail. 

The Executive Assistant will have interaction with internal and external stakeholders, external agencies, external service providers, and must demonstrate a collaborative approach. Applicants interested in this opportunity must be comfortable working in a deadline-driven environment with constantly changing priorities.
 
What you’ll do

  • Manage a heavy calendar, coordinate priorities and meetings, manage schedules, book appointments and business travel arrangements for VP, People and Culture and the respective Directors
  • Maintain and regularly update a comprehensive list of HR initiatives and pending action items
  • Lead day-to-day administrative support
  • Act as a liaison between the HR Vice President and senior leaders in other Business Units through their respective Associates
  • Prepare, format, and coordinate reports and presentations using PowerPoint, internal databases, and external resources for internal and external audiences
  • Provide professional drafted communications for memos, letters, and presentations
  • Take meeting minutes per business needs
  • Assist in the management of routine workflows between the HRLT (HR Leadership Team) and department staff
  • Execute various processes for department, utilizing workforce and SAP software suites for requests and information management as well as department moves and office planning
  • Complete expense reports as required for VP and Directors
  • Handle highly sensitive and confidential information and issues in an appropriate and professional manner; and direct sensitive issues to appropriate executives
  • Manage information and reports including electronic filing as well as maintain critical filing systems, contacts and databases
  • Act as the primary point of contact and build valuable relationships with key internal/external parties
  • Manage VP e-mails and written responses to external parties as required
  • Plan and organize events as required for the department
  • Track and follow up on action items, invitations, correspondence and documents for signature
  • Review, develop and implement departmental administrative processes and training on systems where applicable for new and lesser experienced associates in the department
  • Develop relationships and work collaboratively on tasks and deliverables with leaders and administrative staff in both Canada and US
  • Other tasks as required

 
Minimum Qualifications

  • A minimum of ten (10+) years of related work experience with increasing levels of responsibility with experience at a senior administrative assistant level
  • High school diploma or post-secondary certification in administration from a recognized institution
  • Experience supporting senior leadership support in a fast paced, dynamic environment
  • High degree of professionalism, excellent communication skills, and the ability to maintain confidentiality
  • Understand business priorities and proactively anticipate needs 
  • Sound judgment and the ability to work independently with little direction  
  • Proven organizational, planning, prioritization, scheduling and time management skills
  • Ability to work and communicate comfortably and effectively at all levels of the organization
  • Possess tact and diplomacy while working positively with others
  • Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
  • Expert in the use of MS Office (PowerPoint, Excel and Word)
  • Ability to represent TC Energy effectively to external parties
  • Proven interpersonal skills
  • Excellent written, proof reading and editing skills
  • Proactive, takes initiative, and is creative at identifying process improvement opportunities
  • Strong business acumen
  • Ability to work extra hours as needed

 
Preferred Qualifications

  • Bachelor's degree from an accredited college or university
  • Energetic individual who is a self-starter, has a willingness to help the team and an ability to learn and adapt quickly
  • Ability to use unconventional approaches to solve problems when standard approaches are not effective
  • Takes pride and keenly cares about quality of work
