Role Description:
The Sales Coordinator (12-month contract) is a critical administrative role supporting the Residential Sales team at Oakridge Park. This position is responsible for the preparation, coordination, tracking, and distribution of all sales documentation, ensuring accuracy, compliance, and timely execution throughout the sales process. The Sales Coordinator serves as a key link between purchasers, sales representatives, lawyers, and internal teams, supporting a smooth and professional transaction experience from agreement execution through closing.
Responsibilities:
Prepare and manage agreements of purchase and sale, addendums, amendments, and deposit receipts.
Issue disclosure statements prior to signing and distribute all disclosure amendments, ensuring they are properly executed.
Track signatures and follow up on outstanding documentation.
Collect and monitor upcoming and outstanding deposits.
Submit deposits and completed documentation to lawyers and relevant parties in a timely manner.
Coordinate submission of agreements for developer signing and distribute fully executed documents to purchasers and realtors.
Maintain and continuously update the master sales list and trackers.
Track all change requests, upgrades, modifications, and additional items such as furniture packages, parking, storage, and colour schemes.
Ensure records are accurate, current, and audit-ready.
Respond to inquiries from purchasers, lawyers, and realtors regarding documentation status.
Assist in gathering lawyer information prior to closing.
Support the Customer Care team with documentation and closing-related materials.
Qualifications & Experience
Experience in sales administration, real estate coordination, legal administration, or a related role preferred.
Strong attention to detail and document control experience.
Ability to manage multiple deadlines and priorities simultaneously.
Proficiency in Microsoft Office; experience with sales tracking systems an asset.
Clear written and verbal communication skills.
Highly organized and detail-driven
Process-oriented with strong accountability
Professional and discreet when handling confidential information
Strong follow-through and problem-solving skills
Collaborative, dependable team player
The expected annualized base salary range for this role is $40,000-$65,000.
