Role Description

We are seeking a highly analytical, detail-oriented, and execution-focused FP&A & Finance Operations professional to work closely with our Chief Financial Officer and take ownership of financial planning, reporting, systems administration, and day-to-day finance processes across AIVista.

This role combines traditional FP&A responsibilities with hands-on finance operations. You will manage budgeting, forecasting, financial modeling, variance analysis, and management reporting while also owning critical finance processes, maintaining financial systems and records, and coordinating recurring activities such as payroll and financial reporting.

The ideal candidate has a strong FP&A foundation and is equally comfortable managing the operational details that keep a finance function running effectively. You should be able to build a financial model, analyze business performance, administer finance systems, and independently manage recurring processes with accuracy and consistency.

This is an opportunity to work directly with the CFO, take meaningful ownership of the finance function, and help establish scalable financial processes and reporting as AIVista grows.

Core Responsibilities

Financial Planning & Analysis

  • Own and maintain annual budgets, forecasts, and financial planning models.

  • Analyze actual performance against budget and forecast, identify key variances, and explain underlying business drivers.

  • Develop and maintain financial models to support operating plans, headcount planning, spending decisions, and resource allocation.

  • Partner with functional leaders to understand spending, financial assumptions, and evolving business needs.

  • Prepare scenario and sensitivity analyses to support planning and decision-making.

  • Track financial performance and identify emerging trends, risks, and opportunities.

  • Continuously improve forecasting accuracy, planning processes, and financial visibility as the company scales.

Finance Operations & Systems

  • Own and coordinate day-to-day finance processes, ensuring accuracy, consistency, and timely execution.

  • Administer and maintain finance systems, including Ramp and other financial management tools.

  • Maintain accurate financial and operational records, including key finance systems of record, trackers, and supporting documentation.

  • Own the operational coordination and execution of recurring payroll processes, including maintaining accurate inputs, validating changes, and ensuring timely processing.

  • Manage expense management processes, spending controls, approval workflows, and related finance administration.

  • Coordinate with internal stakeholders and external accounting, payroll, and finance partners to ensure information is accurate and processes run smoothly.

  • Maintain recurring finance calendars, reporting schedules, and key deadlines.

  • Identify opportunities to streamline, automate, and improve finance workflows, systems, and internal controls.

  • Take ownership of recurring operational finance activities, escalating exceptions or issues to the CFO as appropriate.

  • Support other ad hoc operational projects and programs as needed.

Management Reporting & Financial Decision Support

  • Prepare recurring monthly and quarterly financial reporting packages for CFO review.

  • Consolidate financial and operational data from multiple sources to provide an accurate view of company performance.

  • Develop and maintain dashboards, trackers, and reports covering financial performance, spending, headcount, and other key business metrics.

  • Support executive and Board-level financial reporting and materials.

  • Investigate financial variances, identify underlying drivers, and provide clear explanations and recommendations.

  • Support the CFO with financial analyses related to hiring, investments, resource allocation, and other business decisions.

  • Respond to ad hoc financial and operational questions with timely, accurate analysis.

  • Use AI, automation, and modern analytical tools to improve the efficiency and quality of financial processes, reporting, and analysis.

Qualifications

  • 5+ years of experience in FP&A, finance operations, corporate finance, or a related role.

  • Strong foundation in budgeting, forecasting, variance analysis, financial modeling, and management reporting.

  • Demonstrated experience owning recurring finance processes and managing financial information with accuracy and attention to detail.

  • Experience administering finance systems, expense management platforms, or other financial tools.

  • Familiarity with payroll processes, including payroll inputs, validation, coordination, and recurring processing requirements.

  • Advanced Excel or Google Sheets skills and ability to work with financial and operational data from multiple sources.

  • Strong analytical skills with the ability to investigate variances, identify trends, and explain financial results.

  • Highly organized and capable of independently managing multiple recurring processes, deadlines, and priorities.

  • Comfortable working directly with senior executives and taking ownership of both analytical and operational responsibilities.

  • Strong judgment, discretion, and attention to detail when handling sensitive financial and employee information.

  • Strong written and verbal communication skills.

Preferred Qualifications

  • Experience in a startup, high-growth technology company, or similarly fast-moving environment.

  • Experience supporting a CFO or senior Finance leader in a lean finance organization.

  • Hands-on experience with Ramp or similar expense management and finance platforms.

  • Experience coordinating payroll and working with external payroll, accounting, or finance service providers.

  • Experience building or improving FP&A models, financial reporting, dashboards, and recurring finance processes.

  • Experience supporting executive and Board-level financial reporting.

  • Experience with headcount planning, workforce costs, spending analysis, and resource allocation.

  • Familiarity with financial systems, reporting tools, SQL, BI platforms, or similar technologies.
