Job description

Vantage is looking for a self-starter in the role of a Legal Assistant, NA to be part of the Legal Department, which will largely support the Canadian side of the business. In addition to providing excellent attention to detail, this candidate should bring a proactive, business-oriented, and problem-solving attitude. In this role, the candidate will work closely with the Construction, Operations, Leasing, Finance and other departments to review and analyze contracts, work authorizations and corporate documents before they are finalized. The ideal candidate for this position will have experience in an in-house legal department or law firm, a passion for growing a business, and experience in continuous improvement that benefits the business. Although the fields in which the successful candidate will work are wide-ranging, overall previous work experience will be taken into account and the candidate will be accompanied and mentored in order to perfect his or her knowledge to carry out the various daily tasks successfully, including in subjects with which the candidate is less familiar. The main consideration is that the candidate has a thirst for learning, that he or she is resourceful and hardworking!

This role can be based in any of our QC locations: Saint-Bruno-de-Montarville, QC; Pointe-Claire, QC; Québec, QC. In alignment with our flexible work policy (3 days on site required, 2 days flexible). 

Essential Main Functions

  • Maintain the various legal documents for the legal department.

  • Draft, review and analyze commercial contracts, proposals and other related documents for validation prior to the issuance of a contract.

  • Facilitate contractual processes and act as a resource person for the legal department.

  • Work closely with the various members of the legal department.

  • Ensure compliance with applicable laws.

  • Collaborate with other Vantage departments to improve procedures and increase efficiency.

  • Coordinate with other Vantage departments to support the goals of the legal department.

Duties

  • Serve as a liaison between multiple Vantage departments for legal, contractual, financial, and compliance elements.

  • Conduct a variety of legal research.

  • Update the Canadian legal calendar and track deadlines.

  • Analyze quotes and purchase order change requests from vendors.

  • Collect relevant information and prepare reports as needed to monitor the progress of contractual and corporate documents.

  • Collect information, review, draft contracts of all kinds.

  • Administer and monitor the workflow of contracts until they are finalized and archived.

  • Facilitate the contract management workflow using Ironclad, SharePoint, or other tools.

  • Collect and validate information for the finalization of contracts, legal proceedings, etc.

  • Filing annual returns and all updates to Canadian entities.

  • Develop and update the various tools and templates to improve efficiency.

  • Update legal and corporate procedures for different departments. 

  • Assist in the drafting and updating of legal policies and initiatives.

  • Perform legal translations (from English to French and vice versa).

  • Prepare the documentation relating to the syndicates of co-ownership.

  • Any other related tasks.

Job Requirements

  • Minimum of 5 years of experience in an administrative, paralegal or contract analyst role.

  • Excellent organizational, time management and problem-solving skills that allow the candidate to juggle multiple responsibilities at once and consistently meet tight deadlines.

  • Ability to adapt in a fast-paced environment.

  • Bilingual (French and English).

  • Strong written and verbal skills.

  • Ability to read, analyze and interpret legal and technical documents.

  • Expertise with Microsoft, DocuSign and SharePoint applications.

  • Integrity, credibility, character and ethics are beyond reproach.

  • Experience using enterprise resource planning software or contract management software is an asset.

  • Experience in the construction industry is an asset.

Bilingualism (French and English) is required for this position due to the nature of the role requiring day-to-day interactions with counterparts in the legal and compliance department whose stakeholders are located in the United States and whose common language of communication is English. In addition, the Legal Assistant, NA will translate documents on a regular basis.
