We are seeking a People Experience Specialist to join our growing organization. This role supports the People & Culture team by embodying our culture and providing our team members with a world-class employee lifecycle experience. This person will performing essential administrative tasks, maintaining precise records, and actively assisting in various employee life-cycle activities.
The People Experience Specialist plays a critical role in the delivery of our people programs including top-notch rewards and recognition programs; streamlined access to health, welfare, and HR systems; and first-rate customer service. Successful candidates have experience managing employee on-boarding and off-boarding, planning major events, supporting the administration of benefits, working with online HRIS programs and payroll systems, and adhering to and implementing federal, provincial or state, and local laws.
The People Experience Specialist plays a critical role in enhancing employee engagement, fostering a positive and inclusive workplace, and ensuring compliance with organizational policies and processes. This role requires excellent organizational skills, a keen eye for detail, the ability to maintain confidentiality, and an approachable, compassionate demeanor.

Information Security Responsibilities
- Promote and enforce awareness of key information security practices, including acceptable use of information assets, malware protection, and password security protocols
- Identify, assess, and report security risks, focusing on how these risks impact the confidentiality, integrity, and availability of information assets
- Understand and evaluate how data is stored, processed, or transmitted, ensuring compliance with data privacy and protection standards (GDPR, CCPA, etc.)
- Ensure data protection measures are integrated throughout the information lifecycle to safeguard sensitive information
Role and Responsibilities
- Maintain and update employee records in the company’s HRIS and other systems
- Prepare and distribute documents such as employment contracts, onboarding materials, and benefits information
- Manage People & Culture-related correspondence, including emails, letters, and memos
- Draft, track, and maintain employment verifications, bonus documentation, salary updates, and retention statements
- Perform reporting and data analysis using Microsoft Excel
- Coordinate onboarding processes by preparing new hire materials, facilitating orientation sessions, updating the HRIS, and collaborating with Operations and Accounting teams to ensure proper payroll, systems, and tools setup
- Manage offboarding activities, including conducting exit interviews, ensuring the return of company property, and coordinating with IT and Operations to deactivate access and tools upon departure
- Assist with internal transfers and promotions by updating relevant systems and documentation
- Respond to employee inquiries regarding policies, procedures, and benefits
- Assist in organizing employee engagement activities and events
- Support the resolution of basic to mid-level employee issues, escalating highly complexor sensitive matters to People Experience Leadership (Directors or Executive Vice President)
- Support People Experience Leaderships through the performance management process
- Ensure compliance with local labor laws and company policies
- Prepare reports and documentation for audits and inspections
- Maintain accurate records of employee training and certifications
Preferred Qualifications
- 1-3 years of administrative or HR experience with increasing responsibility in a professional environment
- Experience with high volume onboarding/offboarding
- Bilingual English/Spanish preferred
- Familiarity with digital marketing, creative agency, or professional services firm experience preferred
- Proven ability to learnnew technology/tools quickly and proficiently, or familiarity with HRIS systems preferred; experience with Namely is a plus
- Skilled in Office 365 (Outlook, Word, Excel, PowerPoint), with advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and data visualization techniques
- Experience with Google Workspace, Teams, and Slack; Jira/Confluence and DocuSign a plus
- Able to communicate, influence, and listen to the internal stakeholders
- Superior time management skills; a demonstrated capacity successfully managing multiple projects in a dynamic environment
- A strong attention to detail and accuracy; exceptional organizational and project management skills
- Ability to effectively manage individual projects and assignments, or contribute to groups as a part of larger initiatives.
- Solution-oriented, strong problem-solving skills, and a positive, constructive attitude; ability to think creatively and collaborate effectively
- Flexible and readily adaptable to changing circumstances; willingness to wear “multiple hats” and jump into projects as needed
- Excellent verbal and written communication skills
- Interest in employment law and HR best practices a plus
