Takt’s Business Development team is growing. We are looking for a highly organized, operationally strong Inbound Growth Operations + Proposal Coordinator to help manage and maintain the structure behind our inbound growth engine.
Takt works across brand, web, marketing, product design, video, and photography. Our proposals are not templates. They are carefully architected responses that reflect the sophistication of our teams and the complexity of the work we deliver.
This role is for someone who thinks strategically, works efficiently, and takes pride in ensuring nothing falls through the cracks.
Role Overview
As a Growth Operations + Proposals Coordinator, you will sit at the center of our inbound pipeline. You will attend discovery calls with senior leadership, validate that critical insights are properly captured in our systems, and ensure information flows to the right stakeholders without loss or distortion. You will coordinate next steps, assemble draft proposal components, and maintain momentum across multiple active opportunities.
You will manage CRM accuracy and pipeline visibility, effectively project managing inbound opportunities to deliver a polished and seamless introduction to Takt.
This is not a revenue-owning sales role. You will not be expected to lead presentations for new partnerships or independently architect strategic scopes in year one. Over time, there is opportunity to grow into increased ownership of proposal delivery and select client-facing moments, based on demonstrated capability and agency experience.
You will report to the Chief Creative Officer and work closely with Directors, Project Managers, and Senior Leadership.
What You'll Do
Inbound Lead Management
- Respond to new inbound inquiries within 60 minutes during business hours.
- Schedule and coordinate initial discovery calls.
- Manage 20–40 active inbound opportunities at various stages of the pipeline.
- Nurture 15–20 longer-term opportunities with lighter touchpoints.
Discovery + Information Flow
- Attend discovery calls alongside senior leadership.
- Validate that key insights are accurately captured in our systems.
- Ensure information is transferred to the appropriate teams in a structured and actionable format.
- Identify gaps or ambiguities that could impact scope clarity.
Proposals + Estimates
- Coordinate estimate inputs across strategy, design, development, marketing, and production teams.
- Assemble draft proposal components under senior oversight.
- Ensure proposals are accurate, aligned with internal processes, and delivered on time.
- Track revisions and maintain scope documentation integrity.
CRM + Pipeline Management
- Own CRM hygiene and data integrity.
- Maintain full visibility across pipeline stages, next steps, and opportunity status.
- Support migration to Salesforce, taking a lead support role in documentation, organization, and system refinement.
- Track and report on inbound metrics and pipeline health.
Cross-Team Coordination
- Liaise with Project Managers and Directors to ensure accurate scoping inputs.
- Anticipate bottlenecks and maintain forward momentum.
- Support senior leadership with drafting Statements of Work (SoWs) and Master Service Agreements (MSAs).
What You'll Bring
- 3–5+ years of experience in business development support, proposal coordination, or growth operations, ideally within an agency or professional services environment.
- Experience managing CRM systems at scale.
- Comfortable managing 20–40 concurrent opportunities without losing detail.
- Able to synthesize complex conversations into structured next steps.
- Confident sitting in senior-level discovery conversations without being intimidated.
- Strong written communication skills and high attention to detail.
- Comfortable asking clarifying questions to eliminate scope ambiguity before estimates are built.
- Naturally anticipates workflow gaps and prevents bottlenecks.
- Highly organized, proactive, and accountable.
Skills + Tools
- Google Workspace (Docs, Sheets, Slides)
- CRM platforms (Zendesk, Salesforce or similar)
- Familiarity with AI-assisted research and drafting tools
- General familiarity with Figma for reviewing or editing proposal assets
Compensation
$60,000 – $75,000 annually (based on experience).
