The Role

We're hiring an Executive Assistant to work primarily with our CEO in our Vancouver office. This is a high-responsibility role at the centre of how the company runs day to day. While your primary focus is supporting the CEO, when the senior executive team (3–4 people) is traveling, you'll provide coordination and support across the board – not just for the CEO.

What You'll Do:

  • Own calendar and time management for the CEO across Pacific, Eastern, and European time zones

  • Coordinate scheduling and support for the senior executive team when traveling

  • Draft professional emails and communications on behalf of executives

  • Prepare meeting agendas, pre-reads, and follow-up actions

  • Take clear notes and track follow-ups to turn decisions into actions

  • Coordinate travel logistics: flights, hotels, itineraries across multiple time zones

  • Support company operations: leadership meetings, small projects, office logistics

  • Use AI tools daily to draft communications, summarize documents, create trackers, and streamline recurring tasks

Must have:

  • Experience supporting senior leaders in a fast-paced environment (startup, consulting, finance, or similar)

  • Excellent written and verbal communication – clear, concise, professional

  • Highly organized with strong attention to detail

  • Strong at time-zone coordination and managing complex schedules

  • Ownership mindset and flexibility – willing to jump in and handle whatever comes up

  • Either experienced with AI and productivity tools (ChatGPT, Notion AI, etc.) OR keen to self-learn and adopt them as core to your daily work

  • Candidates must have a valid work permit or legal authorization to work in Canada.

Details

  • Location: Downtown Vancouver; in-office first with reasonable flexibility (for example, optional work from home when the CEO is traveling)

  • Hours: Full-time with flexibility for multi-timezone coordination

  • Compensation: CAD 60,000 - 100,000 per year, depending on experience, plus healthcare benefits and RRSP
