Purpose of the Role:
Nicola Wealth is looking for a Client Reports Administrator. This is an exciting opportunity to join a growing team within the firm responsible for ensuring client reporting is delivered timely and accurately. The Client Reports Administrator will provide a consistently high level of back-office support to the firm regarding all investment products, including client and internal reporting. The incumbent will process management fees and generate investment reports as required.
This role will operate on a hybrid work schedule based in Vancouver, BC or Toronto, ON.
Core Responsibilities:
- Prepare and distribute system-generated reports (investment performance and taxable income).
- Liaise with external investment firms and custodians for product-related data.
- Generate managed reports for internal teams and review them for accuracy and completeness.
- Calculate management fees and process adjustments to fee charges.
- Match internal account transfers and switches between share classes.
- Collect and distribute tax slips and upload them to client and accountant portals.
- Manage historical data including fund distribution, tax breakdowns, and foreign exchange rates.
- Monitor team inbox and respond to tax and investment queries from the advisory services team.
- Documentation of software malfunctions and unexpected problems with reports.
- Additional duties as required including assistance with projects to improve client service.
- Collaboration with internal teams to ensure strict adherence to reporting timelines.
- Monitor industry trends including best practices in reporting and compliance requirements.
Required Skills & Qualifications:
- Bachelor’s degree in Business Administration or Accounting (or equivalent).
- Proficient with MS Excel and working with large data sets.
- Strong analytical skills and mathematical ability with close attention to detail.
- Skilled in data structuring, data normalization, and data modeling.
- Excellent interpersonal and communication skills (both written and verbal).
- The interest and ability to connect with internal clients and build a sense of trust.
- Ability to anticipate problems and solve them proactively.
- Willingness to learn new skills and acquire additional education as required.
- High degree of professionalism and maturity.
- Strong time management skills, particularly the ability to prioritize a multitude of tasks.
- 2 years of experience in financial services administration preferred.
- Must be legally eligible to work in Canada for any employee.
Compensation & Benefits Package:
This position comes with a base salary range of $51,000 - $65,000 plus a competitive performance bonus, RRSP contribution and participation in our profit-sharing program. Base salary will be commensurate with experience, skills, and qualifications.
