We are looking for a proactive and highly organized Team Assistant who can also provide Japanese-English translation and interpretation support. While translation/interpretation is an important part of this role, the core responsibility is to support the day-to-day operations of the business teams in Japan.
The ideal candidate is detail-oriented, responsive, and comfortable working in a fast-paced, global environment. This role requires strong communication skills in both Japanese and English, and the ability to multitask and collaborate effectively with colleagues in Japan, APAC, and the US.
Key Responsibilities:
- Administrative and Team Support
- Provide on-site and logistical support for visitors from overseas offices (e.g., booking transportation, preparing meeting rooms, meal coordination)
- Support internal team engagement initiatives such as organizing team lunches, celebrations, and other communication activities
- Act as the liaison between local office teams and global HQ (admin, HR, IT support, etc.)
- Support onboarding of new employees, including equipment set-up and orientation coordination
- Track and update internal documentation (e.g., shared drives and folders, internal process manuals, etc)
- Schedule and coordinate internal/external meetings (including calendar management, booking rooms, etc.)
- Translation and Interpretation
- Provide ad-hoc interpretation during internal/external meetings (mostly from Japanese to English)
- Translate internal and external materials such as training content, product and marketing documents (primarily English to Japanese, occasionally Japanese to English)
- Operational and Marketing Support
- Operate Salesforce and marketing tools for tasks such as uploading leads and managing contact/account info (including translating Japanese lead data into English when needed)
- Assist with logistics for marketing activities (e.g., event registration, coordination of webinars)
Required Qualifications:
- Native-level Japanese and fluent English (written and spoken). TOEIC 800+ or equivalent.
- 3+ years of experience in an assistant, coordinator, or operations role
- Experience with basic translation/interpretation tasks in a business context
- Strong organizational and time-management skills
- Proficiency with common tools like Microsoft Office, and basic CRM/marketing systems (e.g., Salesforce, webinar platforms)
Nice to Have:
- Experience in a marketing or tech company
- Familiarity with B2B business processes
- Ability to multitask and prioritize across multiple stakeholders
