Job Description
Reporting to the VP of Systems Engineering, the Systems Operations Coordinator provides crucial support to our dynamic and fast-paced systems department. This role is responsible for ensuring clear communication and promoting team well-being across multiple locations. Your key duties will include organizing departmental meetings, helping coordinate performance reviews, managing calendars, expense reports, as well as other essential administrative tasks that keep our team operating smoothly.
Education, Qualifications and Experience
Formal Education
- High school diploma.
Experience
- 3 to 4 yrs of previous experience coordinating a department or an office in a high-pressure environment
- Proven experience managing calendars, coordinating travel, and overseeing end-to-end meeting and event logistics
- Previous experience working with knowledge bases and wikis such as confluence or SharePoint
- Comfortable developing and preparing and presenting professional presentations for internal and external meetings
- Exposure to project management solutions like Asana, Jira or MS project
Primary areas of responsibility will include:
- Execute a wide range of administrative tasks to maintain seamless team workflow
- Manage end-to-end meeting logistics, including scheduling, agenda creation, and documenting key decisions and next steps
- Manage and submit expense reports, and track the team's travel spending
- Update and maintain team policies and procedures
- Collect, analyze, and report department data to management.
- Manage leave requests, track employee attendance, and ensure the timely submission of timecards and share-out reports to key stakeholders.
- Assists with the onboarding and offboarding team members
- Plan and organize social events and activities to boost team morale and engagement
Other
- You will establish a clear understanding of the company's vision, goals and strategy and actively contribute to the achievement of the goals and execution of the strategy.
- You will be a leader in the organization, responsible for both setting the standards for project management and holding the organization accountable to the standards set
- Results-oriented with a history of consistently meeting deadlines.
- Excellent written and spoken technical English.
- Ability to work with distributed teams
The anticipated base salary for this position is $68,000 to $75,000/yr. Benefits are per company policy: which include healthcare, tuition reimbursement, RRSP's, Sick and Vacation leave, standard increases as applicable. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
