The role of a Project Manager with Smile Digital Health is to lead, direct and manage assigned customer implementation and / or internal project(s) and to ensure the milestones, deliverables, deadlines and budgets are controlled and achieved. This involves leading and directing the assigned project team(s), providing exceptional and seamless service to customers and ensuring that all hours on the project are tracked, reported accurately in Netsuite, and funding recovered through receivables or internal chargebacks. 


The incumbent will demonstrate a strong understanding of Health IT standards, including FHIR, CDA, and HL7 and be informed on industry trends, regulatory requirements, and innovations in Health IT, with applied knowledge of healthcare interoperability to enhance intake processes and project outcomes.

Primary Functions

  • Fully manage the assigned customer implementation or internal project(s) ensuring that the project plan is properly established, define project scope & objectives, determine and request roles and responsibilities.
  • Ensure that a complete project plan is developed, followed, understood and maintained throughout the entire project lifecycle. 
  • Meet project milestones, workstreams and activities, ensuring that the project(s) is implemented within or under budget and on time.
  • Pro-actively and effectively communicate all project timelines, milestones, deadlines, deliverables and any changes, in advance, ensuring that all participants clearly understand each well in advance and that each person knows what is expected.
  • Take ownership of and actively manage the relationship and communication with the customer or internal sponsor, ensuring the project is delivered to their satisfaction. 
  • Ensure that a complete hand-off occurs from sales to implementation (the project team) and then properly hand-off the customer to the Customer Success team and Support team upon completion of the project.
  • Ensure that the Customer Success team, Support team and the appropriate sales representatives are aware and knowledgeable of the project implementation, risks, delays, issues, changes, documentation, contracts, etc.
  • Defining resource requirements and managing resource availability & allocation – both internal and third party. 
  • On an ongoing basis, conduct a review of the people resources and skills required to properly and effectively complete each step of the project.
  • Ensure that all future people resources or skills required are communicated well in advance to management and to HR to ensure that there is no gap in deliverables to the customer(s).
  • This role is accountable for ensuring that the right people and skills are identified and assigned to the project(s) well in advance of the deliverable or goal. 
  • The Project Manager is measured on their ability to ensure the effective implementation of the project which means having the right people and the right time.
  • This role is accountable for escalating any performance issues impacting project performance to the appropriate people manager(s) and ensuring corrective actions are in place.
  • Accountable for ensuring that all working hours are accurately reported in Netsuite on a daily or weekly basis, that the majority of (if not all) hours are tracked as billable and that the project management tool in Netsuite is properly and fully utilized.
  • Tracking and reporting of billable hours is a critical aspect of project management and delivery to our customers and this is a major area of accountability for a Project Manager. 
  • This role is responsible for escalating any monthly invoicing issues to Accounts Receivable as soon as possible. 
  • This role is also accountable for the correct hours tracked and logged against the Project Manager’s projects, and must reject or adjust any hours submitted that are not entered correctly by the project team.
  • Provide regular (at least weekly) status updates, budget, deliverables, utilization of hours and project timing to all participants on a project team.
  • Where projects require unavoidable changes in scope, cost or schedule, the Project Manager is responsible for submitting a change request to the Project Change Control Board and rebasing the project to ensure appropriate monitoring, control and use of project resources and time. 
  • Comply with the privacy, security and confidentiality policies. 

Prerequisites

  • Undergraduate Degree required in Science, Business or Health Administration, a healthcare profession, or related field or recognized equivalent.
  • Project Management Professional (PMP) certification.
  • Knowledge of best practices in both Linear (Waterfall) and Agile project management.
  • Minimum of 5 years direct work experience in a project management capacity in medium to large-scale IT projects management and systems implementation, with a track record of success (on-time, on-budget, goals met), including all aspects of business requirements gathering and implementation of solutions for Healthcare and/or medical field.
  • Strong interpersonal skills and ability to build and cultivate strong partnerships with clients, technical teams and internal business partners.
  • Foundation knowledge of operating systems, application development, database management, interface engines, information systems principles, and related methodologies.
  • Knowledge of approaches, tools, and techniques for gaining the cooperation and support of others.
  • Strong analytical, problem solving, and negotiation skills.
  • Excellent verbal and written English communications skills.
  • Experience in team management and team building, providing proven ability to form, build and manage effective teams.
  • Ability to work in a multi-functional team environment with rapidly changing priorities.
  • Demonstrated ability to do effective presentations to large and small groups.
  • Strong interpersonal, organizational and leadership skills.
  • Ability to work independently and effectively with minimal supervision focusing on results.
  • Continually seeks opportunities to increase customer satisfaction and deepen client relationships.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.
  • Ability to interact with people from all disciplines with all levels of experience.
  • Experienced in engaging with clients in a professional manner.
  • Interest in start-ups and new technologies.
  • Strong knowledge in documentation and collaboration tools such as G Suite, Google, Hubspot, Confluence, SmartSheet, Lucidchart and other document, project and processing tools.
