Job Description Summary

We are looking for a Client Coordinator to join our team. This position manages team coordination and organization, deal documentation, exclusive listing processes, advertising and marketing, research and data analysis, client liaison and various administrative duties.

Job Description

Client Interaction & Account Management:
• Field inquiries from prospects, clients, and other brokers via phone and email.
• Coordinate property tours, send packages, and manage client communications.
• Manage client activity for specific accounts and transactions.
• Assist with relationship management and reporting for clients.
• Maintain and update the client database.
• Support potential development of new account opportunities by working with GOS and Market Leadership.
Financial & Transaction Support:
• Organize transaction documents including confidentiality agreements, offers, listing agreements, and closing documents.
• Track critical dates and deadlines related to offers and transactions.
• Prepare research reports, summaries, and charts using various real estate data sources (e.g., SiteSolutions, Realnet).
• Assist with lease abstracts and proposal creation under team guidance.
• Draft and route client documents, including service agreements and broker engagement letters.
• Manage revenue projections, track expenses, and submit agent expenses.
• Oversee project timelines, identifying and escalating any variances.
• Manage C&W and third-party brokerage resources throughout transactions.
• Complete transaction post-mortems and client surveys to facilitate continuous improvement.
Administration & Coordination:
• Develop and implement marketing strategies for team listings, including social media communications.
• Compile information for landlord activity reports and track ongoing transaction pipelines.
• Coordinate marketing efforts for listings, including the design of flyers, postcards, newsletters, and other materials.
• Create listing proposals and pitches, including print materials.
• Manage agent deadlines, meetings, tasks, and client interactions.
• Maintain and monitor the transaction management process using various tools.
• Perform general clerical tasks, including data entry, photocopying, filing, and organizing mailings.
• Assist with miscellaneous requests and special projects from the team.
Client Reporting:
• Implement reporting requirements and create standardized reports using transaction management software.
• Develop and maintain collaborative workspaces with proprietary and market-standard tools.
• Ensure accuracy and completeness of transaction and portfolio data.
• Provide technical support to field agents and clients regarding reporting tools.
• Prepare close-out reports and value-add calculations for transactions.
• Develop and maintain reporting for rebates/bonuses.
Qualifications:
• Experience: Minimum 3 years administrative experience, preferably in a commercial real estate organization.
• Education: College or University degree preferred.
• Real estate license is an asset.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience with Adobe applications (InDesign, Photoshop, Illustrator, Acrobat) is a plus.
• Familiarity with CRM software such as Salesforce is an asset.
• Proficiency in electronic marketing platforms (Twitter, LinkedIn, email marketing).
• Skills: Strong writing and proofreading abilities with attention to detail.
• Excellent interpersonal and communication skills.
• Proven ability to meet deadlines while maintaining high standards of accuracy and quality.
• Strong organizational, time management, and project management skills.
• Ability to work both independently and collaboratively within a team.
• Customer-focused with a proactive, results-oriented approach.







The compensation for the position is: $63,750.00 - $75,000.00
