Purpose of the Role:

We are looking for a Receptionist/Office Coordinator to join our team of office administration experts responsible for providing exceptional service to our high-profile clients, management, and staff. In this role you will provide a high level of office coordination and administration and be the first impression of Nicola Wealth to our high-profile clients, staff and business partners. You will be detail-oriented, service-driven, proactive and conscientious. As our receptionist, you will be confident delivering exceptional service both in-person and over the phone.     

Reporting to the Director of Office Services, you will be on site full-time in our Vancouver office. 

Core Responsibilities:

  • Welcome clients and visitors, greeting them and providing a high standard of client service.  
  • Maintain an organized and presentable reception area, ensuring visitors' first impression of Nicola Wealth is a positive one.   
  • Answer multi-line telephone and transfer calls in a polished and professional manner.  
  • Retrieve, sort and redirect incoming mail and couriers; prepare outgoing mail and couriers.  
  • Manage office supplies, check inventory and prepare weekly orders.  
  • Manage kitchen maintenance, including ordering weekly coffee/food orders and kitchen supplies.  
  • Help with boardroom/meeting room scheduling. Facilitate room set up and take down, ensuring space is presentable before and after meetings.  
  • Help with catering requirements for meetings and special event planning.  
  • Providing support to our real estate office as needed and address any requirements that arise. 

Required Skills & Qualifications:

  • A minimum of 2 years of related work experience, preferably in a financial planning firm or equivalent.   
  • Superior client service orientation, with a background in a customer or client facing role.   
  • The ability to blend concierge services and/or a hospitality background is an asset.  
  • Wealth Management and/or Real Estate experience would be considered an asset.  
  • Highly proficient in MS Word, Excel and Outlook.  
  • Exceptional interpersonal skills.  
  • Proactively resolves problems and conflicts with a high degree of professionalism.  

Compensation & Benefits Package:

This position comes with a competitive base salary hiring range of $50,000 - $60,000; dependent on experience, skills, qualifications and internal equity.
