Purpose of role

The successful candidate will administer payroll and benefits across North America, ensuring continuity of service and compliance, as well as providing additional administrative support to the team.  We are seeking someone with hands-on payroll experience, sound working knowledge of payroll requirements, and exposure to benefits and HR systems.

The ideal candidate will be proactive, detail-oriented and comfortable working independently, with the judgement to problem-solve routine issues while knowing when to ask questions or escalate. This role would suit someone with strong payroll fundamentals who is looking to deepen their payroll and benefits knowledge while gaining broader exposure to HR operations and project support.

Key responsibilities

To perform this role successfully, an individual must be able to perform each key responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability needed. This includes the following; other duties may be assigned as needed within skill sets or if additional responsibilities are added.

Payroll Administration

  • Process U.S. and Canadian semi-monthly and special payroll runs
  • Produce post payroll reports and tax liability reports as required for Finance team
  • Run year-end payroll processes including all payroll adjustments, tax documents review and approval (i.e W2, T4)
  • First level review of quarterly US tax packets for variances and manage payments or refunds with Finance team
  • Respond to payroll related queries and troubleshoot any issues
  • Support cross-border pay matters
  • Process quarterly Employee Health Tax payments to BC tax authority
  • Process Canadian Workers Compensation salary reports and payments
  • Process and submit records of employment (ROE) to Service Canada Agency
  • Ensure personnel data is accurate; record, research and resolve errors as needed
  • Ad-hoc reporting

Benefits

  • Administer benefit programs, including annual renewals, records maintenance, terminations, and reporting
  • Assist with new hire benefits introduction and enrollment
  • Maintain benefit elections in Workday and with third party providers
  • Serve as first point of contact for benefit inquiries, escalating complex matters as needed
  • Provide administrative support for the 401(k) and RRSP, including communications, enrollments, changes, terminations, and annual compliance processes including year-end closing, non-discrimination testing, audit support, and required filings
  • Support administration of pension enrollments and terminations, pension payments, and annual reporting and/or notices.
  • Be aware of payroll and benefit compliance including Federal, State, & Local Ordinances
  • Conduct regular audits of benefits, payroll and benefit provider information to ensure accuracy.
  • Ad-hoc reporting

HR Administration and Other Responsibilities

  • Audit, reconcile, and process HR invoices
  • Manage workers’ compensation and fiduciary liability renewals and audits
  • Provide administrative support to HR Business Partner (for example: project coordination, employee communications, training completion tracking, presentation material preparation)
  • Flexibility to provide wider support to the HR team as required

Preferred skills

Qualifications

  • Related degree or equivalent experience
  • Certification such as CPP a plus

Track record

  • 3-5+ years’ payroll experience, including at least 2 years independently managing payroll cycles
  • Experience independently processing payroll and troubleshooting issues, with a strong understanding of underlying payroll rules and calculations
  • Experience administering employee benefits programs

Technical skills/knowledge

  • Proficiency with payroll software systems (Workday preferred)
  • Strong understanding of Canadian payroll laws and regulations
  • Multinational experience would be an asset
  • Excellent communication, organizational, and customer service skills
  • Ability to work independently, manage deadlines, and adapt to competing priorities
  • High attention to detail
  • Strong Excel and numerical skills; ability to utilise AI an asset
  • Ability to maintain highest level of confidentiality
  • Process improvement mindset with the ability to problem solve

The expected base salary range for this role is $70,000 - 100,000.  Actual offered salary will depend on experience, skills and qualifications.  In addition to base pay, eligible employees participate in various incentive compensation plans, based on individual and business performance as well as a comprehensive range of health and wellness benefits.
