The Office Administrator manages front office activities, supports logistics, handles shipments, and maintains documentation while ensuring efficient office operations.

About the role .
To provide comprehensive administrative support for McCain Farms by managing front office activities, facilitating farm logistics, and ensuring efficient office operations.
What you'll be doing .
• Serve as front office receptionist: greet visitors, answer and direct phone calls.
• Guide truck drivers to correct destinations on the farm.
• Accurately weigh trucks and record data.
• Accurately prepare sales orders in the sales system for order placed
• Prepare bills of lading and other applicable shipping documentation for applicable orders.
• Coordinate with the production and shipping teams on order status and communicate relevant information (i.e. delays) to customers and carriers as appropriate.
• Assign appropriate grades to weight slips and input data into spreadsheets.
• Process purchase orders for the packing shed.
• Accurately process sales order and shipments in accounting system
• Track and record inventory movements (boxes, bags, slip sheets, pallets).
• Document daily shipping information for Good Agricultural Practices (GAP).
• Coordinate with carriers to schedule order pick-up times.
• Manage CFIA inspection requests for US-bound shipments.
• Perform other administrative tasks as required by management.
What you'll need to be successful .
• Post-secondary education in Business Administration or a related field preferred.
• Minimum one year of experience in office administration and/or accounting.
• Demonstrated attention to detail with the ability to multitask and work efficiently.
• Strong communication skills, both oral and written.
• Proficient in obtaining and synthesizing information from multiple sources.
• High degree of tact and professionalism when interacting with internal teams and external vendors; ability to build effective working relationships.
• Excellent organizational and planning skills.
• Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
• Willingness to work flexible hours, including extended hours during planting and harvesting seasons.
