Are you an Office Administrator who is excited about working in the visual effects industry? The Embassy is hiring to join their team!

*This is a fixed-term, part-time role (three days a week, or as needed) - six months contract initially, with potential for extension after.

The Embassy is a Canadian, Oscar-nominated production house, specializing in live-action production, post-production, and animation for feature films, television, and commercials. We are an independent creative studio with expertise in visual effects and production. Located in the heart of Vancouver’s Digital District, we work with global production companies, agencies and brands in film, television and advertising.

About You

You are an organized and proactive administrator supporting the smooth operation of the studio. You're a self-starter, solution-oriented, highly detail-oriented person who enjoys keeping things running efficiently, managing office logistics, and assisting with light HR and recruitment tasks in a creative, team-oriented environment.

Your Role

  • General office administration, including managing supplies, coordinating deliveries, equipment pick up and drop off, liaising with building management and janitorial services
  • Order and track office, kitchen, and studio supplies
  • Assist with scheduling meetings and maintaining shared calendars
  • Process incoming and outgoing mail
  • Coordinate office maintenance requests 
  • Support HR with administrative tasks including managing onboarding documentation, updating employee profiles, scheduling review meetings, and coordinating studio events 

Your Qualifications

  • Previous experience in administration, office administration, or HR administration
  • Proficient in Microsoft Office/Google Suite; experience with BambooHR is a plus
  • Highly organized and detail oriented with a proactive approach to problem solving
  • Strong communication skills and a friendly, professional demeanour
  • Ability to juggle multiple tasks in a fast-paced environment
  • Recruitment and/or HR experience is a plus
