A growing financial and operational consulting firm is seeking an Executive Assistant to provide administrative and operational support across multiple clients. This role is ideal for a highly organized professional who thrives in a fast-paced environment, has strong analytical skills, and enjoys managing processes to ensure efficiency.

Location: Fully-Remote (Work from Home), 8 AM - 4 PM PT

Administrative & Operational Support – Ensure timely completion of key deliverables such as payroll processing and filings with strict deadlines. Monitor emails for high-priority messages and ensure timely follow-ups. Manage and prioritize task lists across multiple clients. Organize and maintain digital files and documents for efficient retrieval. Oversee virtual mailbox management, including filing documents appropriately, identifying critical items requiring follow-ups, and calling state agencies to resolve blockers or gather information regarding mailings.

Personal Assistance – Schedule and manage personal appointments and administrative tasks such as orders and returns. Coordinate with CPAs on tax filings and related documentation.

  • Process Improvement – Identifying and implementing process enhancements to improve operational efficiency.

  • Strong Communication & Follow-Ups – Timely and clear communication with clients, vendors, and agencies.

  • Organized & Detail-Oriented Execution – Seamless handling of virtual mail, filings, and document management.

Qualifications

  • 2+ years of experience in administrative, operations, or executive support roles.

  • Strong analytical skills, with the ability to work with financial data and reports, ensuring accuracy and compliance.

  • Exceptional organization and attention to detail, with the ability to track multiple deadlines.

  • Problem-solving mindset, with the ability to anticipate needs, resolve blockers, and ensure smooth workflows.

  • Excellent written and verbal English proficiency for professional communication.

  • Tech Proficiency: Google Suite (Google Sheets, Docs, etc.). Experience with Notion is highly advantageous but not required.
