moozoom is looking for a highly organized and proactive Executive Assistant to support our leadership team. This role is essential in facilitating effective communication and organization within the company.
The ideal candidate will be a dynamic multitasker with excellent communication skills and the ability to manage sensitive information with discretion. You will play a vital role in helping our executive team navigate daily operations and strategic projects.
Responsibilities
- Manage executive schedules and coordinate appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Handle confidential information with professionalism and discretion.
- Maintain and organize emails, files and records.
- Assist in project management and track progress on various initiatives.
- Act as a liaison between executives and other departments.
- Prepare regular reports on the progress of initiatives and propose appropriate solutions as needed.
- Support in organizing company events and workshops.
- Manage certain aspects of the CEO's daily life (e.g., personal appointments) to ensure optimal alignment with professional obligations.
- Anticipate the CEO's needs and propose reactive solutions in the event of unforeseen circumstances or urgent requests.
- Minimum of 2+ years of experience as an executive assistant or similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time-management skills.
- Excellent communication skills, both written and verbal - Bilingual in English and French.
- Ability to handle multiple tasks and priorities in a fast-paced environment.
- Professional demeanor with strong judgment and discretion.
- Strong sense of discretion and rigor in handling confidential information.
- Able to adapt your schedule from time to time with both Pacific Standard Time and Eastern Standard Time.
