Executive Assistant

Ruth & Naomi’s Mission is looking for a highly organized, proactive, and trustworthy Executive Assistant to work closely with our Executive Director and support the rhythm of leadership and Board governance across our organization.

This isn’t a role for someone who simply waits for the next task. We’re looking for a true thought partner who anticipates what’s needed, takes ownership, keeps priorities moving, and brings clarity and follow-through to a complex, fast-moving environment.

Because this position works closely with the Executive Director, Board of Directors, and senior leadership, it also carries a significant level of trust and access to confidential information. Strong judgment, discretion, integrity, and professional boundaries are essential.

What You’ll Do

• Proactively manage the Executive Director’s calendar, priorities, scheduling, and follow-up
• Anticipate needs, surface decisions and action items, and help keep key priorities moving forward
• Prepare agendas, briefing materials, reports, presentations, and other leadership documentation
• Coordinate Board meetings, prepare Board packages, attend meetings, and take accurate minutes
• Track Board, leadership, and organizational action items through to completion
• Coordinate organizational projects and leadership initiatives, including timelines and deliverables
• Support communication and information flow between the Executive Director, Board, leadership, and other stakeholders
• Maintain organized and appropriately secured Board and leadership records
• Handle sensitive Board, leadership, employee, and organizational information with exceptional discretion and confidentiality
• Provide administrative and project support to the Executive Director and leadership team

What You’ll Bring

• Experience providing executive-level or senior administrative support
• Experience supporting senior leadership teams or Board processes is strongly preferred
• Experience handling highly confidential and sensitive information in a professional environment
• Strong organization and time-management skills with the ability to manage multiple priorities and shifting demands
• Excellent written communication, document preparation, and attention to detail
• Strong critical thinking and an ability to anticipate needs rather than waiting for direction
• Exceptional discretion, judgment, integrity, and professional boundaries
• Strong sense of ownership and accountability with consistent follow-through
• Ability to confidently navigate a complex organization and communicate professionally across different levels
• Strong proficiency with Microsoft Office and the ability to quickly learn new technology and systems
• Experience within a nonprofit, faith-based, or complex organizational environment is considered an asset

Compensation & Benefits

$65,000–$68,000 annually dependent on experience

Schedule
