The Role 

We’re looking for a highly organized, proactive Executive Assistant to join our team in Vancouver. 

This is a hands-on, in-office role that combines executive support, recruiting coordination, office management, and people operations. You’ll work closely with leadership, helping keep a fast-moving team aligned, organized, and operating efficiently. 

This is not a “wait for instructions” role. We’re looking for someone who operates like a Swiss army knife — comfortable jumping into whatever is needed and figuring things out. No task is too big or too small. You take ownership and get things done.

What You’ll Do: 

  • Manage calendars, scheduling, and day-to-day executive support  
  • Coordinate interviews, candidate communications, and manage candidate pipelines  
  • Support hiring processes from application to onboarding  
  • Help run onboarding and maintain internal documentation  
  • Keep the office organized and handle day-to-day operations  
  • Assisting with internal events and team activities  
  • Jump in wherever needed to keep things moving 

Requirements

What We’re Looking For: 

You don’t need extensive experience, but you do need strong ownership, judgment, and reliability. We’re looking for someone who is: 

  • Highly organized with strong attention to detail 
  • Able to manage multiple priorities without dropping the ball 
  • Clear communicator who’s comfortable working with people 
  • Resourceful and able to solve problems independently 
  • Comfortable with ambiguity and minimal structure 
  • High agency — you take initiative and follow through 

Requirements: 

  • Bachelor’s degree (or equivalent)  
  • Valid driver’s license 

Nice to have: 

  • Experience in admin, recruiting, legal, or operations roles 

How You’ll Work: 

  • In-office in Vancouver (collaboration matters)
