About the role

We’re looking for an Executive Assistant to join our North American Specialty Solutions team!

What you’ll do here:

  • Provide support to the Vice President, HR and the Vice President, Marketing & Communications, both of whom have teams in Canada and the US..

  • Manage and organize calendars, make travel arrangements, scheduling, and attend, as required, meetings to record minutes, complete and file expense reports, write correspondence, etc.

  • Coordinate team meetings - set up meeting invitations, room reservations and equipment as needed, prepare the agenda and publish action items.

  • Coordinate off-site meeting logistics and manage on-site details

  • Oversee the implementation of action plans, projects, and initiatives to ensure the team is delivering and achieving its objectives

  • Track the team’s KPIs, generating and maintaining various performance reports.

  • Ensure continuous improvement of processes.

  • Identify gaps and recommended solutions in real time to optimize the team’s performance.

  • Participate in various internal and external projects and initiatives to support Global Specialty Lines, US and Canada marketing and communications.

  • Become an expert in all internal and external communications platforms/tools, being a resource for the team on execution and developing best practices for their use.

  • Collect and compile data for various HR reports to support the functioning of the HR team and our business partners, ensuring the accuracy and timeliness of all reporting.

  • Handle sensitive and confidential information and files with the utmost confidentiality and professionalism

  • Providing administrative support to the US and Canada team including invoicing and the annual budgeting process.

  • Provide backup support to other Executive Assistants.

What you bring to the table:

  • College diploma in administration or secretarial studies or equivalent combination of education and experience

  • Minimum of 3 years experience

  • Strong business acumen and professionalism

  • Proficiency in MS Office (Word, Excel and PowerPoint), MS Planner, Canva, Work Vivo, Workday

  • Exceptional organizational skills, attention to detail, discretion and the ability to handle multiple competing priorities and deadlines

  • Excellent communication skills, both written and verbal

  • Bilingualism (English/French) is an asset

  • Previous experience in Marketing, Communications or HR is an asset.

  • No Canadian work experience required however must be eligible to work in Canada.
