OVERVIEW:
We currently have two exciting opportunities for Executive Assistants in Calgary. One role will report directly to the Senior Vice President & Chief Technology and Data Officer, while the other role will report directly to the Senior Vice President, Group. As the Executive Assistant, you will be responsible for handling a wide range of administrative tasks including managing schedules, tracking key deliverables and deadlines, and preparing executive level communications and reports. In addition, you will be responsible for the preparation of documents and coordination of executive calendars. You will also be a key point of contact for internal and external stakeholders. You must be highly organized, detail-oriented, and capable of managing multiple priorities. You must exercise a high degree of professionalism, judgement, and discretion.

WHERE YOU WILL WORK:
You will have the flexibility to decide how and when you work. While you may be working from home most of the time, there will be plenty of opportunity to come into the Calgary office periodically for important meetings, team events and other purposeful connections.

WHAT YOU WILL DO:

  • Provide personalized, executive-level administrative support in a well-organized, timely, and responsive manner.

  • Manage executive's calendar and resolve conflicts due to a high volume of meeting requests, competing priorities and time sensitive meetings.

  • Coordinate and organize internal and external meetings and functions, including logistics and preparation of materials and presentations.

  • Track key deliverables, set reminders, and follow up on action items after meetings.

  • Prepare meeting agendas, transcribe and distribute minutes, and ensure follow-up on action items.

  • Monitor and triage executive’s inbox and flag for action, importance, important data, and file and manage as needed.

  • Provide administrative support for the strategic and operational planning cycle, including documentation preparation and meeting organization.

  • Prepare and review documents, reports, and presentations, ensuring accuracy and confidentiality.

  • Coordinate and organize travel arrangements, accommodations, and itineraries.

  • Prepare and submit expense reports, purchase requisitions, and track budgets.

  • Serve as the primary point of contact between the executives and internal/external parties, screening and directing calls, emails, and correspondence.

  • Assist with special projects or initiatives as directed by the senior leadership team.

  • Maintain a high level of confidentiality and handle sensitive information with discretion and professionalism.

  • Perform ad-hoc tasks and support other members of the executive team as needed.

WHAT YOU WILL HAVE:

  • Training or education in administrative support is preferred.

  • Prior experience supporting a senior executive.

  • Proficiency in Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, Teams and SharePoint. Experience with Microsoft PowerBI, Project, Visio, Diligent Boards, and Canva considered an asset.

  • Exceptional time-management and organizational skills with a high degree of accuracy.

  • Ability to manage competing priorities and work in a fast-paced environment with attention to detail.

  • Excellent written and verbal communication skills, with the ability to draft clear, concise, and professional correspondence.

  • Ability to maintain a high level of professionalism, discretion, and confidentiality.

  • Experience in supporting senior executives or senior management teams.

  • Self-motivated, energetic, and able to work both independently and collaboratively with all levels within the organization.

  • Flexibility and adaptability in managing a dynamic workload.

  • Technology background or the ability to quickly adapt to new technologies is highly desirable.

  • Creative problem-solving and decision-making skills with the ability to implement or suggest solutions to new and recurring issues.
