ERM is seeking a highly motivated Executive Assistant to join our team in Canada. This role involves providing high-quality administrative and project support for our Canadian Business Unit for a one-year term, covering a maternity leave.
We are seeking an organized administrative professional to apply self-initiative, positive team attitude, technical quality, and creativity, to support our Business Unit Leadership team.
As a highly resourceful team player, who’s comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient, this individual needs to have the ability to exercise good judgment in a variety of situations, to pay attention to detail, with strong written and verbal communication, administrative and organizational skills, and the ability to balance multiple priorities.
RESPONSIBILITIES:
- Complete a variety of administrative tasks for the Business Unit Managing Partner (BUMP) and Area Managers, including managing the Business Unit Share point site; maintaining executive files on One Drive and One Note; updating and generating reports in Salesforce; tracking and reporting of business analytics; arranging detailed and highly accurate travel plans, expense reports, and itineraries; developing and organizing meeting schedules and agendas; compiling documents for meetings; and scheduling and administrative support.
- Participate as a member of the Business Unit Leadership Team, including but not limited to weekly team meetings, monthly operation meetings, and monthly Partner calls. Schedule calls, prepare agendas, track and report out on action items, identify and execute administrative special projects.
- Anticipate the needs of the BUMP and Area Managers and proactively bring together appropriate people and resources to support addressing these issues.
- Represent the BUMP and Area Managers both internally and externally with a high level of professionalism and in a manner that reflects positively on the organization; establish and maintain positive working relations with the leadership teams.
- Complete critical aspects of deliverables and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem solving and making adjustments to plans.
- Accept ownership for accomplishing new and different requests; explore opportunities to add value to job accomplishments and Business Unit.
- Support communication plan developed in conjunction with the BUMP and Area Managers, driving the cadence of the plan and drafting communications.
- Effectively handle activities and communications relating to the various management teams in which the BUMP and Area Managers participate, with a high degree of professionalism, accuracy and confidentiality. Manage contacts and communications, including composing and preparing correspondence that are sometimes confidential, proactively understanding who the primary contacts are, and keeping track of periodic communication needed for primary contacts and groups.
- Coordinate meetings, including sending meeting invites and keeping relevant record and correspondence for events; assist in setting up videoconferences for office meetings.
- Manage BUMPs incoming email and flag items as necessary. Review incoming requests and expense approval requests to ensure they follow ERM Policy and contain all relevant information.
QUALIFICATIONS:
- Minimum 5 years of working experience in professional services or corporate organizations supporting fast-paced executives.
- Post-secondary education in a relevant discipline. Or equivalent experience.
- Excellent organization, time management, verbal and written communication skills with an emphasis on confidentiality, good professional judgement, and the confidence to articulate effectively.
- Exceptional interpersonal skills and ability to interact comfortably with a wide variety of audiences, including other executives, senior management, clients, vendors and Board members, as well as employees. Ideally will have worked and collaborated with colleagues across North America and overseas.
- Demonstrated ability to manage/coordinate multiple projects and successfully prioritize multiple tasks with good judgment, initiative, and follow-through. High confidence level in addressing unplanned or short-notice issues that require sound judgment and limited direction.
- Proven ability to produce accurate, high-quality work in a fast-paced work environment, as well as to work under pressure efficiently with rapidly changing priorities.
- Advanced proficiency in Microsoft Office, including Word, One Note, One Drive, Teams, PowerPoint and Excel required. Other MIS experience such as Workday and Salesforce a plus.
- Ability to operate independently and remotely from a supervisor.
For the Executive Assistant position, we anticipate the annual base pay of $68, 535 – $74, 388 (CAD). An employee’s pay position within this range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs. We also may have instances where employee’s fall outside of the range based on the factors noted above. This job may be eligible for bonus pay (casual and fixed term/flex force employees are NOT bonus eligible).
