You are a seasoned Executive Assistant with 10+ years of experience supporting C-suite leaders. Known for your exceptional organizational skills and resourceful problem-solving, you excel in fast-paced, collaborative environments, bringing positivity, humility, and a team-first approach to everything you do.
About the Role
You’ll play a key role in supporting a group of accomplished Partners in our Toronto office, ensuring their operations run smoothly and efficiently. This hybrid position currently requires a minimum of three in-office days per week, with flexibility for 4–5 days as needed.
Your expertise will help you juggle competing priorities, build strong internal/external relationships, and contribute to the broader success of our high-performing team. In supporting members of the Partner team, you’ll work closely with the Managing Partner’s executive office while demonstrating discretion, professionalism, and a proactive service mindset.
Responsibilities
- Executive Support: Provide seamless, high-level assistance to a minimum of four Partners.
- Calendar Management: Coordinate and prioritize schedules across multiple time zones, optimizing productivity.
- Meeting Coordination: Organize and facilitate internal and client-facing meetings, ensuring a smooth and professional experience for all participants.
- Travel Management: Arrange complex international and domestic travel, including accommodations and itineraries.
- Deadline Tracking: Proactively monitor and follow up on key deadlines and deliverables.
- Expense Oversight: Manage Partner expenses, ensuring compliance with internal policies. Experience with Concur or similar systems is an asset.
- Budget Awareness: Act as a gatekeeper for expense authorization, ensuring spending aligns with policy limits for client and internal events or travel.
- Document Preparation: Draft, proofread, and finalize briefing materials, correspondence, and responses with a high degree of accuracy and attention to detail.
Experience and Skills
- Professional Expertise: 10+ years of experience supporting C-suite executives in a mid-sized firm.
- Leadership and Prioritization: Proven ability to handle conflicting priorities and tight deadlines in fast-paced environments.
- Proactive Problem-Solving: Anticipate needs and resolve challenges with sound judgment.
- Exceptional Communication: Strong verbal and written communication skills that reflect professionalism.
- Organizational Excellence: Keen attention to detail and strong organizational skills to manage complex workflows.
- Tech Savvy: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat, with the ability to learn new tools quickly.
- Team Player: A collaborative mindset with a “Yes, and…” approach, fostering a positive and adaptable work environment. Sense of humour is always a bonus!
