Job Summary:
As the Editing & Publishing Specialist you will work closely with the Manager of Product Compliance and design. As the specialist, you will edit and publish materials provided to credit unions including materials for other Central 1 departments. You will be responsible for creating and editing user-friendly material, ensuring consistency with established standards, and coordinating all aspects of publishing, and content management, including database record keeping.
Projects can vary in scope and are of considerable complexity, and you may work on large projects involving substantial revisions.
What you'll be doing:
Project Support
- Review and approve the work of other team members prior to publication
- Conduct quality assurance reviews of published material and post project audits
- Create and maintain checklists, templates, guides, and manuals to ensure consistency in work processes
- Update, maintain, and audit the department database to ensure accuracy of project date
- Maintain the department project log, prioritizing projects according to the Manager’s publication schedule, legislative deadlines, and external clients’ expectations
- Contribute ideas and develop processes for increasing efficiency and improving user experience
- Generate flexible and workable solutions to problems using creativity, reasoning, good judgement, and experience along with the available information and resources
- Compile, edit, and publish the department’s monthly notice to the credit unions
- Train and mentor new and less-experienced team members
Editing
- Analyze, organize, and implement projects and tasks within an allotted time frame with a high degree of precision
- Keep project-specific checklists up to date to enable a transition to another team member, if necessary
- Edit material to improve readability and to detect and correct errors in spelling,
- Suggest or draft changes for clients; query items where necessary to confirm accuracy and completeness and obtain proper sign off before altering content
- Create interactive PDF, Word, and Excel forms, and forms in an HTML format
- Create graphics to illustrate written material and ensure that figures and graphics are correctly captioned and referred to in the text
- Confer with clients to resolve queries regarding details of publication
Publishing
- Coordinate with other team members regarding publication schedules and deadline
- Publish manuals using a help authoring tool (e.g., WebWorks)
- Publish forms to multiple internal and extranet document libraries
- Confer with the Manager regarding notifications to be published by the Communications department
- Resolve publishing/production issues and escalate technical issues to the appropriate team member, as required
Administrative Support
- Coordinate Central Forms printed forms orders. Work with supplier to maintain and update forms supply for use by credit unions
- Provide administrative support to Financial Services for Ontario registered plans
- Perform other duties in the department as necessary
What you'll have:
- Diploma specializing in designing, editing, and publishing
- 2+ years of industry experience
- Strong understanding of the publishing cycle
- 1–2 years’ experience in an iterative editing environment
- Demonstrates advanced working knowledge and understanding of document design using graphic design software, editing, and publishing
- High attention to detail, proven organizational and time management skills to manage multiple assignments and tasks, set priorities, and adapt easily to changing conditions and work assignment
- Experience working independently or as part of a team with minimal supervision
- Strong command of the English language (both written and verbal)
- Excellent client-focused interpersonal skills with the ability to work collaboratively with colleagues at all levels in a professional manner
- Highly analytical individual with the ability to improve work processes
- Proficient with Microsoft Office and expert working knowledge of Microsoft Word
- Adobe Creative Suite – advanced working knowledge of InDesign and ability to manipulate images using Photoshop and Illustrator
- Advanced working knowledge of Adobe Acrobat Professional
- Intermediate working knowledge of help authoring tools
- Familiar with relational databases and image capture software
Salary range: $60,000-$70,000
