Administrative AssistantBuild the future with us

As an Administrative Assistant, you will play a key role in ensuring the smooth operations of the Information Technology sector by supporting the Senior Directors of IT Service Delivery and their management team.

What you will accomplish with us

As an Administrative Assistant, you will be at the heart of our mission. Here are the main responsibilities:

  • Handle various administrative support requests from department staff

  • Draft, edit, and proofread documents and PowerPoint presentations

  • Prepare and produce statistical and accounting reports

  • Manage agendas, phone calls, and group activity calendars

  • Plan and organize internal and external meetings for the sector

  • Coordinate and book business travel arrangements

  • Manage expense reports, financial provisions, and invoice payments

  • Produce budget tracking reports

  • Manage office supply procurement

  • Verify consultant work hours

  • Work closely with other assistants and department managers

We are looking for someone who:

  • Is recognized for their thoroughness, organizational skills, and efficiency

  • Stands out for their ability to find solutions and provide exceptional customer service

  • Demonstrates strong ease with computer tools and numbers

  • Shows excellent judgment, proactivity, and a collaborative approach

  • Has a minimum of 5 years of experience in an administrative role

  • Holds a DEP in secretarial studies or equivalent

  • Has advanced knowledge of the Microsoft Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint, OneNote)

  • Has knowledge of Planview (an asset)

  • Has an advanced level of English, as the role requires participating in videoconferences, reviewing documents, reading and writing emails in English with unilingual anglophone partners on an occasional basis

  • Fluent in French both oral and written
