The Administrative Assistant will provide high-level administrative support, coordinate travel arrangements, manage office operations, maintain databases, and assist the executive team with various tasks.

We are seeking a skilled and professional Administrative Assistant to serve as a key front-of-house contact and provide high-level administrative support to our Senior Executive Team (8 leaders). This front-facing role is responsible for delivering exceptional service to internal and external stakeholders while coordinating daily office operations.
Responsibilities:
Travel Booking & Executive Support:
- Utilizing financial prudence, plan, recommend and secure complex travel arrangements for the entire company including flight, hotel and rental vehicles
- Prepare and submit detailed expense reports, including visa reconciliations
- Act as a virtual assistant and perform other duties as required
- Undertake special projects and ad hoc responsibilities as assigned, in support of organizational priorities
Office and Facilities Management:
- Serve as the point of contact for general communications, screening phone calls, emails, mail, and visitors; route and resolve information requests
- Maintain front of house (office/kitchen supplies, general equipment, maintenance and service coordination, upkeep of common spaces and supply cupboards, arranging couriers)
- Participate in executing company events (i.e.. Holiday luncheon, winter gala, Board Meetings, small conferences and/or workshops etc.)
- Participate as an active member of the on-site Occupational Health and Safety Committee
Calendar & Meeting Coordination:
- Manage complex and constantly changing calendars
- Coordinate virtual and in-person meetings, taking and maintaining accurate and comprehensive minutes
- Participate in meetings and learning events, engage in team initiatives and projects, and provide short-term support for colleagues
Database Maintenance:
- Manage various databases and records while maintaining strict confidentiality
Skills and Experience:
- 2+ years’ experience providing administrative support, preferably in fast paced environment
- Proficiency in MS Office, including word processing (Word), spreadsheets (Excel), presentations (Power Point), collaboration (Teams), Flowcharts (Visio)
- Experience in securing travel arrangements is preferred
- Strong verbal and written communication skills
- Excellent organizational and time management skills, with a strong ability to ensure the accuracy of detailed information
- Strong critical thinking skills are imperative
- Comfortable with routinely shifting demands
Qualifications:
- Diploma or graduate degree in office administration is an asset
