We are currently hiring a Part-time Permanent Administrative Assistant for the Hub Financial Center (HFC), the centralized accounting team for HUB International. This position will be reporting to the Office Administrator. Key responsibilities include general office management, arranging internal and external events, providing administrative support to the accounting teams. Acting as the first point-of-contact to all guests and callers, the Administrative Assistant is responsible for greeting guests, answering/routing calls and requests and providing general administrative support, as needed.

Key Responsibilities

  • Processing incoming and outgoing mail
  • Handling incoming and outgoing couriers (including regular mail); open, stamp, sort, and label for distribution
  • Handling the mail run each day
  • As needed arranging appointments, booking meeting rooms and conference facilities
  • General office management such as ordering supplies, working with vendors to ensure facilities are operating properly
  • Arranging internal and external events
  • Support the onboarding of new employees and offboarding of exiting staff
  • Contribute to a cooperative team environment in which cross functions are assumed as necessary to meet department deadlines and goals
  • Other duties as assigned

Requirements

  • High School Diploma or equivalent
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Applications (Word, Excel and Outlook)
  • Self-motivated and proactive
  • Demonstrated ability to take initiative and achieve results
  • Must have some flexibility of work hours and have ability to potentially put in extra hours during peak times.
  • Must have valid driver’s license and vehicle

The expected salary range for this position is $19 to $23 per hour and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level. HUB International is proud to offer comprehensive benefit and total compensation packages which could include extended health benefits, disability insurance, RRSP matching, paid-time-off benefits, and eligible bonuses, and commissions for some positions.
