YOUR FUTURE JOB

Reporting to the Director of People & Culture, the Admin & Office Coordinator plays a vital role in supporting the smooth operation of our office and creating an engaging workplace experience. This role provides day-to-day office support, coordinates memorable social events, and delivers administrative assistance to support the People & Culture function. With a proactive and people-focused approach, you’ll help make Daiya a welcoming, collaborative, and thriving place to work.

WHAT YOU WILL DO

Workplace Experience & Events

  • Coordinate and support logistics for company-wide events, social activities, and employee engagement initiatives.
  • Greet and assist visitors, clients, and employees with a professional, customer-focused approach.
  • Contribute to building a positive, inclusive, and vibrant workplace culture.

Administrative Support

  • Support onboarding and offboarding activities to ensure a smooth and professional employee experience.
  • Assist with internal communications, announcements, and office updates as needed.
  • Assist with admin support with Senior Leadership, including occasional Daiya board members

Facilities & Office Support

  • Oversee day-to-day office operations, including supplies, mail, packages, and deliveries.
  • Coordinate with vendors for maintenance, repairs, and other office needs.
  • Partner with IT and P&C to support facilities security, including issuing badges, updating org/seating charts, and IT package receiving.
  • Monitor office conditions and escalate potential hazards or risks.

Collaboration & Continuous Improvement

  • Recommend process improvements that enhance workplace efficiency and employee experience.
  • Act as a point of contact between employees, vendors, and other stakeholders to ensure smooth operations.

Facility Management

  • Oversee the day-to-day operations of the company's facilities, ensuring a clean, safe, and well-maintained working environment.
  • Coordinate with vendors for facility maintenance, repairs, and renovations as needed
  • Manage office supplies inventory and place orders to replenish stocks
  • Provide regular office facilities communication and announcements keeping employees up to date on social events and happenings in and around the office.

YOUR BACKGROUND

  • Diploma or degree in Business Administration, Communications, or related field, or equivalent combination of education, training, and experience.
  • Minimum of one (1) year of experience in administration, customer service, or office coordination.
  • A palpable passion for customer service and creating memorable experiences.

  • Strong organizational and time management skills with the ability to juggle multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office applications (Outlook, Word, Excel; Publisher an asset).

  • Strong problem-solving, decision-making, and analytical skills.
  • Ability to communicate effectively and positively influence across all levels of the organization.

COMPENSATION, BENEFITS, & PERKS

Daiya’s compensation offerings are based on a pay-for-performance philosophy. The pay range for this position is from $50,000 - 62,000 annually; the base pay offered is based on market location and may vary depending on job-related knowledge, skills, experience, and internal equity. Permanent team members may be eligible for our competitive annual bonus program, subject to program eligibility requirements.
