KEY DUTIES & RESPONSIBILITIES (includes but not limited to):
Accounts Payable & Accounting
- Process accounts payable by verifying, coding, posting, and reconciling supplier invoices and other payable transactions.
- Maintain accurate and up-to-date supplier files and records.
- Reconcile the accounts payable ledger monthly and investigate and resolve discrepancies.
- Prepare cheques for bi-monthly cheque runs.
- Prepare bank deposits and maintain organized deposit records.
- Scan and maintain electronic copies of invoices, cheques, and other financial documentation.
- Maintain accurate and confidential financial records and data.
- Process bi-weekly payroll for an assigned group of employees, ensuring payroll is accurate, complete, and submitted within established deadlines.
- Reconcile benefits accounts and follow up on outstanding items.
- Record bi-weekly payroll entries in QuickBooks.
- Provide backup coverage for the organization’s primary high-volume payroll function during vacation and other absences.
- Receive training and maintain sufficient knowledge of the primary payroll processes and procedures to provide effective coverage when required.
- Assist with payroll reporting and other payroll-related duties as needed.
- Maintain confidentiality of payroll and employee information.
- Investigate and resolve payroll discrepancies and other payroll-related issues.
General
- Perform general accounting and banking duties as required.
- Assist with the preparation of documentation and provide support during the annual audit.
- Provide support to Finance team members as required and contribute to a collaborative team environment.
- Identify opportunities to improve processes, accuracy, and efficiency.
- Maintain organized records and documentation in accordance with established procedures.
- Perform other related duties as assigned.
QUALIFICATIONS AND SKILLS:
- Certificate or Diploma in Accounting preferred.
- 1–3 years of practical experience in accounts payable, payroll, or a similar accounting role.
- Experience with QuickBooks Enterprise Desktop preferred.
- Strong computer skills, including Microsoft Word and Excel, in a Microsoft Windows environment.
- Strong understanding of accounts payable processes and general accounting practices.
- Payroll processing experience is an asset.
- Strong reconciliation and analytical skills with a high level of attention to detail.
- Excellent organizational, time-management, and prioritization skills.
- Ability to manage multiple priorities and meet established deadlines.
- Strong written, verbal, and interpersonal communication skills.
- Ability to maintain confidentiality and exercise discretion when handling sensitive financial and employee information.
- Proactive approach to problem-solving, with the ability to investigate discrepancies and resolve issues.
- Ability to work effectively both independently and as part of a team.
- Ability and willingness to learn new systems, processes, and procedures.
