Role Overview
We’re looking for a detail-oriented and highly organized Accounting + Finance Operations Manager to oversee the day-to-day financial operations of Takt. In this full-time role, you will manage invoicing, accounts receivable and payable, and maintain accurate financial records within QuickBooks while coordinating closely with our outsourced finance partners.
You will work closely with the leadership team to ensure financial data is accurate, organized, and reported in a way that supports operational decision-making. This role focuses on financial operations, reporting, and process management, ensuring the agency’s financial systems run smoothly as we continue to grow.
What you will do
- Accounts Receivable Management: Manage client invoicing, payment tracking, and follow-ups to ensure timely collections.
- Accounts Payable Coordination: Oversee vendor and contractor payments, ensuring invoices are processed accurately and on schedule.
- QuickBooks Management: Maintain and manage the company’s QuickBooks environment, ensuring transactions are categorized correctly and records remain up to date.
- Financial Reporting: Prepare and maintain financial reports, including P&L summaries, expense tracking, and cash flow overviews for leadership.
- Cash Flow Monitoring: Track incoming and outgoing funds and support leadership with visibility into cash flow and financial performance.
- External Finance Coordination: Work closely with our outsourced accounting team on reconciliations, reporting, and month-end close processes.
- Invoice Process Management: Maintain billing schedules for projects, retainers, and milestone-based invoices in coordination with internal teams.
- Financial Organization + Documentation: Ensure financial records, invoices, and documentation are organized and maintained according to best practices.
- Operational Finance Support: Provide financial data and insights to support internal planning and operational decisions.
- Process Improvements: Identify opportunities to streamline financial workflows and improve financial visibility across the organization such as introducing and implementing new dashboards.
- Internal Collaboration: Work with leadership and internal teams to ensure financial information aligns with operational planning and project billing.
- Project Revenue Tracking: Support leadership with visibility into billed revenue, outstanding invoices, and project billing schedules.
Qualifications
- 5–8+ years of experience in bookkeeping, accounting, or finance operations
- Strong experience using QuickBooks
- Experience managing accounts receivable and invoicing processes
- Experience managing accounts payable and vendor payments
- Comfortable preparing and interpreting financial reports such as P&L summaries
- Strong attention to detail and financial organization
- Experience coordinating with external accountants or finance partners
- Excellent communication and organizational skills
- Experience working in an agency, consulting, or services business is an asset

Compensation + Benefits
- $70,000–$85,000 CAD annually, based on experience
